Terms & Conditions (Open-Air Cinema Tickets & Equipment Rental) — ProjectFilms101

These Terms & Conditions (“Terms”) apply to (A) the purchase of tickets and attendance at open-air cinema screenings and related events organised by ProjectFilms101 (“we”, “us”, “our”), and (B) the rental of equipment offered by ProjectFilms101. By buying a ticket, attending an event, and/or renting equipment, you agree to these Terms.

Part A — Open-Air Cinema Tickets
2) Tickets, booking confirmation, and entry
A valid ticket is required for entry unless an event is explicitly marked as free.
Tickets are delivered digitally (e.g., by email). You are responsible for providing a correct email address and checking spam/junk folders.
We may scan tickets (including QR codes) at entry. A ticket may be scanned only once. Duplicate copies may be refused entry.
We may request ID for age-restricted films or discounted tickets (if offered). If you cannot provide proof, entry may be refused without refund.
3) Screening times, seating, and venue rules
Event schedules may change for operational, technical, or safety reasons. We will try to notify you using the contact details you provided.
Seating is general admission (first come, first served) unless otherwise stated for a specific event.
Please follow venue signage and staff instructions at all times, including instructions related to safety and crowd management.
4) Weather, postponements, and cancellations (open-air events)
Open-air screenings are weather-dependent.
Light weather: Events may proceed in light wind or light rain at our discretion.
Unsafe weather: If conditions are unsafe (e.g., heavy rain, lightning, strong winds, or other safety risks), we may delay, pause, reschedule, relocate (if possible), or cancel the screening.
If we cancel: If we cancel the event and it cannot be reasonably rescheduled or relocated, you will be entitled to either:
a refund of the ticket price (excluding any non-refundable processing fees charged by third parties, if applicable), or
a ticket credit/voucher for a future screening of equivalent value.
If the event is interrupted: If a screening starts and is later stopped due to weather or safety, we may (depending on how much of the film has played and what is reasonable) offer a partial refund, voucher, or rescheduled entry. We will make the decision fairly and communicate it as soon as possible.
Travel costs: We are not responsible for travel, accommodation, or other expenses you may incur due to a change, delay, or cancellation.
5) Refunds, exchanges, and no-shows
Customer cancellation: Unless required by applicable law, tickets are non-refundable if you change your mind or cannot attend.
Exchanges: Ticket changes (date/time) may be permitted at our discretion, subject to availability and any price differences, if requested at least 48 hours before the event.
No-shows: If you do not attend, no refund will be issued.
Invalid tickets / misconduct: Tickets may be voided and entry refused without refund if tickets are resold unlawfully, duplicated, obtained fraudulently, or used in breach of these Terms.
6) Right of withdrawal (EU/EEA online purchases)
If you buy online in the EU/EEA, you normally have a 14-day withdrawal right for distance purchases. However, this right generally does not apply to leisure services (such as cinema/event tickets) for a specific date/time. Therefore, tickets for a specific screening date/time are typically not subject to the 14-day withdrawal right.
7) Admission, conduct, and safety
For safety and comfort, we may refuse entry or remove anyone who:
is intoxicated or behaving aggressively,
harasses others,
damages property,
blocks exits or refuses reasonable staff instructions,
creates a safety risk.
In these cases, no refund will be provided.
Please keep noise to a minimum during the screening. Phone screens should be dimmed and set to silent.
Children must be supervised by an adult. Age ratings must be respected.
8) Prohibited items
Unless we explicitly allow it, the following are prohibited:
weapons or items that could be used as weapons,
fireworks, flares, lasers,
illegal drugs,
any item that staff reasonably considers dangerous.
We may also restrict glass bottles, large umbrellas, or bulky items if needed for safety.
9) Food, drink, and alcohol
Outside food is not allowed.
Outside drinks are not allowed.
Alcohol: Alcohol may be restricted by law and venue policy. Bringing your own alcohol is not allowed. If alcohol is offered for sale at a specific event, it will be served according to applicable laws and venue rules. We may refuse service or entry if alcohol rules are violated.
10) Recording, photography, and intellectual property
Recording the film is not allowed. Any video/audio recording of the screening may violate copyright laws and will result in removal.
We may take photos/videos at events for documentation and promotion. We aim to do this respectfully. If you do not want to appear in close-up images, please tell staff at the event.
11) Health & personal responsibility
Outdoor venues may include uneven surfaces, insects, or changes in temperature. Please dress appropriately and take reasonable precautions.
You attend at your own risk and are responsible for your personal property. We are not liable for lost or stolen items.
12) Liability
We will take reasonable steps to run events safely and professionally.
To the maximum extent permitted by law, we are not liable for indirect losses (e.g., loss of enjoyment, travel costs, accommodation).
Nothing in these Terms limits or excludes liability where it cannot be limited or excluded by law (for example, liability for death or personal injury caused by negligence, where applicable).
13) Accessibility
We aim to make our events accessible where possible. If you have accessibility needs, contact us in advance at info@projectfilms101.com and we will do our best to assist.
Part B — Rental Equipment
14) Rental equipment (equipment rental terms)
These terms apply to the rental of equipment (the “Equipment”) offered by ProjectFilms101. If there is any conflict between these rental terms and a written rental offer/contract, the written offer/contract will prevail.
14.1 Enquiries, booking, and contract
Rental requests are made via the Site or by email/phone. A rental booking is only confirmed once we send written confirmation (email/WhatsApp) and, where applicable, receive the agreed deposit/payment.
The exact rental period, fees, included accessories, and handover/return details will be stated in the confirmation, offer, or invoice.
14.2 Eligibility and identification
The renter must be at least 18 years old and may be required to present a valid ID (and/or driving licence) at handover.
We may refuse to rent out equipment if identification is not provided or if we reasonably believe the equipment may not be used safely or lawfully.
14.3 Fees, deposit, and payment
Rental fees are due as stated in the offer/confirmation. We may require full payment in advance.
A security deposit may be required. The amount and the method (cash/bank transfer/other) will be communicated before handover.
The deposit may be used to cover late returns, missing items, cleaning, damage, repair, or replacement costs. Any remaining balance will be returned after inspection within a reasonable time.
14.4 Collection, delivery, and return
Equipment is handed over only at the agreed time and location. Delivery may be offered for an additional fee if agreed in writing.
The renter must check the equipment at handover. If there is an issue, it must be reported immediately at handover (or within 2 hours if delivery is agreed).
Equipment must be returned on time, to the agreed location, and in the same condition as received (fair wear and tear excepted), including all accessories, cables, cases, and consumables provided.
14.5 Late returns
Late returns may result in additional charges (e.g., an extra day rate or hourly late fee) as communicated in the offer/confirmation.
If late return causes the loss of a subsequent booking, the renter may be liable for resulting losses to the extent permitted by law.
14.6 Use, care, and prohibited use
The renter is responsible for safe and proper use and must follow any instructions provided by us.
The Equipment must not be:
used unlawfully or for dangerous activities,
modified, opened, repaired, or altered (except with our written approval),
sub-rented, sold, pledged, or handed to third parties without our permission,
used in saltwater, sandstorms, heavy rain, or extreme conditions unless it is specifically rated for that use and agreed in writing.
The renter is responsible for protecting the Equipment from theft, loss, water, sand, impact, and extreme heat.
14.7 Damage, loss, and theft
The renter is liable for loss, theft, and damage to the Equipment during the rental period (including while in transport), except where caused by our fault.
If equipment is lost, stolen, or damaged, the renter must notify us immediately and (in case of theft) file a police report as soon as possible.
Costs may include repair, parts, cleaning, or replacement at current market value, plus any reasonable administrative costs.
14.8 Malfunctions
If the Equipment malfunctions under normal use, the renter must stop using it and inform us immediately.
Where possible, we may provide a replacement or troubleshooting support. If no replacement is available, we may (depending on circumstances) refund unused rental time. We are not responsible for indirect losses (e.g., production delays, lost revenue) to the maximum extent permitted by law.
14.9 Cancellation and changes
Cancellations must be made in writing (email/WhatsApp).
Unless required by law, cancellation fees may apply depending on how close to the rental date the cancellation is made:
More than 7 days before start: full refund (minus any non-refundable payment processor fees, if applicable)
7–3 days before start: 50% of rental fee
Less than 72 hours before start: 100% of rental fee
Date changes may be possible subject to availability.
14.10 Liability
The renter is responsible for ensuring the Equipment is suitable for their intended use.
To the maximum extent permitted by law, we are not liable for indirect losses (e.g., lost profits, loss of footage, production delays).
Nothing in these Terms limits liability that cannot legally be limited (e.g., for death or personal injury caused by negligence, where applicable).
15) Changes to events and these Terms
We may update these Terms from time to time. The version published on our Site at the time of purchase/rental will generally apply to that purchase/rental, unless a change is required by law.
16) Governing law and jurisdiction
These Terms are governed by the laws of Cyprus. Any disputes will be subject to the competent courts of Cyprus, unless mandatory consumer protection rules provide otherwise.
